The letting process

Step 1

Our service to you begins with a free valuation. One of our experienced Negotiators will come and inspect your space to get a better understanding of your needs and how we can help you achieve the best possible price. Our specialist knowledge of the property market means we can give you sound advice on all aspects of letting your home to achieve not only the best price, but in a timescale that suits you.

Step 2

Depending on your property's quality, size and location, our experienced team will recommend the appropriate asking price. Once both the price and the terms and conditions have been agreed, we will begin the marketing process – writing details, taking photos, arranging for a board to go up outside your property, uploading your property's details to the web – and immediately beginning the search for the most suitable tenant on our extensive network.

Step 3

Realising the importance of providing security and peace of mind, for both the landlord and the tenant, Kingsly negotiators endeavour to accompany all viewings. Upon arrival, tenants are met at your door with all the relevant details relating to your property, creating a relaxed atmosphere and positive frame of mind. We know that matching tenants with appropriate properties for their budget and lifestyle ensures optimum tenant satisfaction and long-term renewals.

Step 4

Once a suitable tenant has been found, the negotiator will inform you of their offer, occupation, proposed move-in date and any other terms. After trying to negotiate the best deal for you (and on the basis that you are happy to proceed) we will then introduce you to our Lettings Co-ordinations Team. The benefit of our in-house Lettings Co-ordination Team is that they are experts in the field…qualified professionals - which is just what you need in order to be given the best service possible. Their first task is to commence reference checks.

What we look for in a prospective tenant

Step 5

Our screening process includes structured face-to-face interviews with prospective tenants, as well as an independent credit agency conducting credit checks and employment background verification. Once references have been thoroughly examined, the Tenancy Agreement is then prepared by your Lettings Co-ordinator.

Step 6

The Lettings Co-ordinators deal with all enquiries relating to contracts and any other documentation once a suitable tenant has been found. They will guide you through your options for adhering to the latest legislation for all Assured Shorthold Tenancies. This legislation requires for each landlord to join a Government-accredited Tenancy Deposit Protection Scheme. The Lettings Co-ordinators will then ensure that both contracts are signed and dated, allowing the tenancy to take effect and be a legally binding document.

Our Head Office uses the very latest in electronic banking, ensuring our landlords receive their money as quickly as possible. Keys are never given to a tenant until contracts are signed and Kingsly Estate Agents are in receipt of cleared funds.


Kingsly Estate Agents have a team of specialists employed to take care of all the formalities involved when renewing a Tenancy Agreement. Our Renewals department commence their work up to two months prior to the end of a contract, contacting both the tenant and the landlord to establish their intentions for the end of the agreement.

Mediating between the landlord and the current tenant, decisions are made swiftly, with our renewals manager advising on current market conditions and your available options. If a renewal is agreed by both parties, all relevant paperwork is then prepared for signing, bringing the matter to a quick conclusion for all.

Once both parties have signed, all relevant documentation is sent for your records. If however, your tenants choose to vacate your property, upon your instruction, we will commence remarketing straight away to minimise any risk of empty periods.
